pobl., an independent talent consultancy, is partnering with an established medical communications business in Chester to find a Business Administrator/PA to the Director. This is an essential and important role, combining comprehensive office management with personal assistant responsibilities to the company owner.
This position offers the opportunity to become an essential part of a professional team, where your organizational skills and attention to detail will directly contribute to the company's smooth operations across their UK and Italian offices.
About the Role
Based on the outskirts of Chester (minimum Monday/Tuesday/Thursday in-office, more as required), you'll serve as the backbone of office operations while providing direct support to the Director. This role requires exceptional organizational skills, financial acumen, and the ability to manage confidential information with the utmost discretion.
What You'll Be Doing
- Managing financial processes including bookkeeping, processing invoices (approximately 30 per month), expense reports, and supporting financial reporting
- Coordinating international and domestic travel arrangements for the Director and team members across both UK and Italian offices
- Handling payroll organization and essential HR duties with the support of Peninsula, requiring significant confidentiality
- Preparing and managing office systems including new starter setups, digital filing, and maintaining office supplies and equipment
- Supporting the Director with correspondence, scheduling, presentations, and various administrative tasks
What We're Looking For
- A highly organized professional with proven experience in a similar Office Manager, Business Administrator or PA role
- Strong financial acumen with experience in bookkeeping and financial administration
- Exceptional attention to detail and accuracy, particularly when handling confidential information
- Excellent communication skills with the ability to liaise effectively across international teams
- Proficiency in Microsoft Office applications including Word, Excel, PowerPoint, and Outlook
This position will occasionally involve international travel to Italy for team meetings/events. The successful candidate will have the opportunity to train alongside the current post-holder to ensure a smooth transition.
